The venue for your child's birthday party is key to its success

Planning your child's birthday party can be an exciting yet daunting task, especially when it comes to selecting the right venue. With so many options available in London and the surrounding counties, it's essential to choose a venue that suits your child's preferences and meets your needs as a parent. To help you navigate through the sea of choices, here are top tips for choosing a party venue for your child.

Plan Ahead

Start your venue search well in advance to ensure you have plenty of options to choose from. Popular venues in London can book up quickly, especially during peak party seasons, so it's best to start looking at least a few months before the big day. The more you plan ahead the more likely that you are going to be able to have the party venue and date of your choosing. We would also recommend booking your chosen children’s party host before you book a venue.

Consider Your Child's Interests

Take your child's interests and preferences into account when choosing a venue. Whether they're into sports, arts and crafts, or adventure activities, selecting a venue that aligns with their interests will make the party more enjoyable for them and their guests. Equally, if you are planning a themed party or a disco party – a blank canvas of a venue, such as a hall, hotel or similar will be fine.

Assess the Space

Before booking a venue, assess the space to ensure it can comfortably accommodate the number of guests you plan to invite. Look for venues with ample room for activities, seating, and any entertainment or attractions you have in mind. If you’re having a disco you’ll need to give the children plenty of space to dance, away from all the food and tables. Think about the activities you plan to have and where they might go, making sure you give the children plenty of space to run around. You might also want to consider having some chairs set aside so children can have a sit-down and a much-needed rest if they get too hot and bothered or excited. Be wary of relying on suggested room capacities. A room for example that could comfortably seat 20 adults for a dinner, would not be large enough to host a children’s party for 20 (they don’t sit still). We are also happy to advise on the size of area that you might need if you tell us the likely number of guests.

Check the Facilities

Make sure the venue has the necessary facilities to cater to your needs. This includes amenities such as toilets (essential), parking, and catering options. If you plan to have entertainment or activities, ensure the venue has the appropriate equipment and space available. When you visit a venue it is always a good idea to check the cancellation policy, just in case the birthday child comes down with chickenpox and you have to cancel last minute. Some venues even return some of the money you’ve paid as long as you’ve given them enough notice. Be sure to check their rules and regulations before making a decision. Check if you can decorate and what you can or cannot use. For example, some venues prohibit the use of confetti or tape on the walls. So if you were planning on using specific items to decorate, you need to check if they are allowed. Also, check what you are allowed to bring in and what you would have to purchase from the venue. Lastly, ask what insurance cover they have in place and what this will cover for your guests.

Consider Accessibility

Choose a venue that is easily accessible for both you and your guests. Consider factors such as proximity to public transportation, parking and pick up/drop availability, what floor/level the room is on and any special accommodations that may be needed for guests with disabilities. Choosing a birthday party venue that is in close proximity to you and your guests, will result in a better turnout than if you pick a place that is a longer drive away.

When thinking about accessibility, also bear in mind your poor party planner who have may to carry a lot of equipment upstairs if there is no lift. Accessibility to a contact at a venue is also a consideration. It can for example be tricky to get hold of somebody when you want to if you are booking a hall.

Think About Safety

Safety should always be a top priority when choosing a venue for your child's birthday party. Look for venues that are child-friendly and equipped with safety features such as secure entrances, fenced outdoor areas, and first aid kits.

Factor in the Weather

If you plan to host the party outdoors, be prepared for the unpredictable London weather. Choose a venue that offers indoor alternatives or has sheltered outdoor areas in case of rain or extreme temperatures. Outdoor Parties are one of the areas that we specialise in.

Budget Wisely

Set a budget for the venue and stick to it. Consider all costs associated with the venue, including rental fees, deposits, and any additional services or amenities you may require. Don't forget to factor in other party expenses such as decorations, entertainment, and food. When it comes to budgeting for rental, make sure you allow for time to set up before the party and clear away afterwards. Also, check what deposit is required and whether this is returned if you have to cancel for any reason, and by what date this needs to be done. Most venues have tables and chairs included in the hire price but it’s important to check. Also, check whether the use of a kitchen or a fridge is included, this is useful if you are doing your catering for the party.

Read Reviews

Do your research and read reviews from other parents who have hosted parties at the venues you're considering. This will give you valuable insights into the venue's facilities, customer service, and overall experience. You can also ask your friends or a children’s party service such as us for recommendations.

Trust Your Instincts

Ultimately, trust your instincts when choosing a venue for your child's birthday party. If something doesn't feel right or if you have any concerns, don't hesitate to explore other options. Your child's happiness and safety are paramount, so choose a venue that feels right for your family.
